Staffing Agency KPIs: The Metrics That Actually Predict Growth

Placements made and revenue booked tell you what already happened. Here are the operational metrics that tell you what's about to happen, and why most agencies only see them a month too late.

Every agency owner already tracks placements and revenue, they're on the invoice, they're impossible to miss. The metrics that actually predict whether next quarter is better or worse than this one live earlier in the pipeline, in the operational data that produces those placements in the first place. Most agencies either don't track them at all, or only see them in a monthly report that's already a month stale by the time anyone reads it.

Applicant Funnel: Where Candidates Actually Drop Off

A placement count tells you how many candidates made it all the way through. It says nothing about how many started and didn't. Tracking the funnel stage by stage, applied, screened, submitted, interviewed, placed, is what actually shows you where you're losing people. A high drop-off between screened and submitted points at a sourcing quality problem. A high drop-off between submitted and interviewed points at a client responsiveness problem. Those are two completely different fixes, and a placements-only view can't tell you which one you have.

Placement Velocity: Speed From Job Order to Fill

Time-to-fill is the metric clients feel most directly, and it's also a leading indicator for your own agency: a job order that's taking longer than your historical average is telling you something, before it turns into a lost client or a candidate who took another offer while you were still working the req. Tracked live, placement velocity flags a slowing desk early enough to actually do something about it. Tracked monthly, it flags it after the quarter's already been affected.

Onboarding Completion: The Silent Placement Killer

A placement isn't real revenue until the worker actually starts and stays started. Onboarding completion, the percentage of placed candidates who finish required documents, e-signatures, and compliance steps on time, is a metric most agencies don't track at all, and it's often where placements quietly die. A candidate who accepted an offer but never finished onboarding paperwork isn't a placement, no matter what the initial funnel said, and if that's happening at a meaningful rate, it's worth knowing why before it shows up as a revenue shortfall.

Compliance Accuracy: The KPI Nobody Tracks Until an Audit

I-9, W-4, and E-Verify status accuracy isn't usually thought of as a growth metric, but it functions like one: an agency with clean compliance can take on new clients and new volume without hesitation, while an agency that's not sure what its compliance exposure looks like tends to move cautiously, and caution has a real cost in a competitive market. Compliance accuracy tracked as a live number, not discovered during an audit, is what lets an agency grow with confidence instead of growing and hoping.

Why Monthly Spreadsheet Reporting Undercounts All of This

The common thread across all four metrics is timing. A monthly export tells you what happened last month, by which point a slowing desk has already lost more time, a funnel drop-off has already cost more candidates, and an onboarding gap has already meant more phantom placements. None of these problems are hard to see once you're looking at them, the actual failure mode is a reporting cadence that's structurally too slow to let anyone act while the problem is still small.
