What a No-Show Actually Costs a Staffing Agency

A no-show doesn't show up on your P&L as its own line. It hides inside revenue you never billed and recruiter hours that went to phone calls instead of new orders. Adding those two up is the only way to know whether fixing no-shows is worth a real process.

A worked example

Schedule 200 shifts a week with an 8% no-show rate and you get 16 no-shows. Backfill half and 8 shifts of 8 hours stay empty at an $8/hour spread: $512 of gross profit gone. Add 30 recruiter minutes per no-show at $35/hour and that's another $280. Total: $792 a week, roughly $41,184 a year, or about $49.50 every time someone doesn't show.

Practical ways to cut no-shows

  • Confirm the day before. A short text asking the worker to reply YES turns a silent no-show into a heads-up you get with hours to spare.
  • Kill the confusion. Address, gate or entrance, parking, start time, who to ask for, and what to wear. A lot of "no-shows" are people who couldn't find the door.
  • Track reliability per worker. Give first pick of shifts to people who show up, and have a direct conversation with the ones who don't.
  • Keep a standby list. Vetted workers who want extra hours shrink the scramble from a morning of calls to one text.

How do you calculate the cost of a no-show?

Add two things. First, lost gross profit: for every no-show you can't backfill, you lose the spread (bill rate minus pay rate) times the shift hours. Second, scramble labor: every no-show, filled or not, costs recruiter time on the phone, valued at the recruiter's loaded hourly cost. Divide the weekly total by the number of no-shows to get cost per no-show.

Why doesn't a backfilled no-show cost zero?

Because someone spent half an hour on the phone finding the replacement. Backfilling saves the spread, but it doesn't give the recruiter their morning back. That's why the calculator charges scramble time on every no-show, not just the empty ones.

What is a normal no-show rate for temp staffing?

It varies a lot by niche, shift, pay rate, and market, and we don't have a trustworthy benchmark to hand you. The number that matters is your own: count no-shows against scheduled shifts for the last month and put that in the calculator. Then track it weekly so you know whether changes are working.
