Pricing Questions
Do I pay for my internal recruiters or staff?
No, never. Every recruiter, coordinator, admin, and owner login is unlimited and free on FreshStaff, on every plan, forever. Add your entire office and your bill doesn't move.
Do I need a credit card to sign up, or can I cancel anytime?
No credit card is required to create your FreshStaff account and get started. There's no long-term contract either, cancel anytime and it takes effect at the end of your current billing period. No cancellation fee, no renegotiation, no lock-in.
What exactly is an "Active Placement"?
A field worker/temp who, during the current billing cycle, had at least one pay stub or direct deposit processed, logged hours or shifts on a job assignment, or was flagged Active on a client job order. If none of that happened this month, they're not an Active Placement, even if they're still in your system.
What happens if a temp works 0 hours this month?
You don't pay for them that month. Active Placements are counted fresh each billing cycle, no pay stub, no hours, no active job order means $0 for that person, automatically. There's no "pause" or "archive" step required.
Are applicants and candidates in my ATS free?
Yes, always. Sourcing, applicant tracking, your whole Talent Pool, and past workers with no activity this cycle cost nothing. You're only billed for temps who are actually on assignment and getting paid.
Will my price ever go up?
Not for the rate you signed up at. As a founding customer, the base fee and per-Active-Placement rate you start on are locked in for as long as you stay subscribed, even if FreshStaff's list price increases for new customers later.
How does FreshStaff pricing work?
Two parts: a flat $149/month base fee, and $6/month per Active Placement. The base fee covers unlimited internal team seats and every module in the platform. The only thing that scales your bill is how many temps you actually have out on job sites that month.
Is any feature held back until I have more placements?
No. Every module, CRM, payroll, timekeeping, sales pipeline, routing, analytics, portals, workflow automation, Copilot, and the migration engine, is included from day one, regardless of your Active Placement count.
Is there a setup fee?
No setup fee for standard onboarding. A guided ATS migration project (data import from Bullhorn, Avionte, TempWorks, and others) may carry a one-time migration cost, quoted upfront if you need it.
How long does onboarding onto FreshStaff take?
Most teams are fully set up, branches, permission groups, and document packets configured, within a few business days.
What happens if my Active Placement count changes month to month?
Your bill simply follows it. Add more placements during a busy season and the usage line reflects that; when things slow down, so does the charge. There's no tier to jump between and nothing to renegotiate.
Which integrations are supported?
FreshStaff connects to payroll providers like ADP, Gusto, and QuickBooks, background check vendors like Checkr, and timekeeping systems, all included at every level of usage.
Can FreshStaff migrate our data from our current ATS?
Yes. The guided, field-mapped Migration Engine (Bullhorn, Avionte, TempWorks, and more) is included, not held back as a paid add-on.
How does FreshStaff handle data security?
