Where Generic Staffing Software Breaks Down

Four problems that legacy per-seat and per-record staffing platforms consistently get wrong at high-volume, high-turnover headcount, whatever the industry.

High Turnover & Constant Re-Sourcing

The Problem

General temp staffing turnover routinely runs 30–50%+ monthly. Agencies must source and re-source constantly, but legacy per-seat/per-record platforms effectively punish a growing applicant database with higher costs.

The FreshStaff Fix

Sourcing is unlimited and free. Your Talent Pool, every applicant, every inactive candidate, every past worker with no activity this month, costs $0 no matter how large it grows. Billing is tied only to who's actually working, not how many people are in your system.

Fast Shift Check-In & Roster Visibility

The Problem

Checking in 50–150+ temps per shift on paper sign-in sheets means no real-time visibility for you or the client, and reconciling who actually showed up happens after the fact.

The FreshStaff Fix

Kiosk or mobile check-in with a live roster board, see who's on-site right now, timestamped automatically, with the client able to see the same view through their portal instead of calling for a headcount.

Same-Day / Weekly Gross-to-Net Payroll at Volume

The Problem

High-volume temps often need weekly or same-day pay. Manually running tax withholding correctly at high headcount, high-frequency volume is where legacy batch payroll processes break down and errors creep in.

The FreshStaff Fix

Native gross-to-net payroll supports weekly (or faster) cycles at volume, with automated multi-jurisdiction tax withholding and direct deposit/pay card support built in, no separate payroll system to run in parallel.

Huge Candidate Databases Without a Per-Record Penalty

The Problem

Legacy platforms often price around seats or record volume, which quietly discourages agencies from building the deep sourcing pipeline high-volume placement actually requires.

The FreshStaff Fix

The size of your database never appears on an invoice. Whether you have 500 or 50,000 candidates on file, the only number that affects your bill is Active Placements that billing cycle.

Digital Kiosk Check-In & Live Roster Board

Replace the paper sign-in sheet with a scan. Every check-in is timestamped automatically, and you (and your client, through their portal) see who's actually on-site in real time, not at end-of-shift reconciliation.

Weekly Payroll Run

150 Workers

High-Volume Weekly Payroll Engine

Run payroll for a large temp roster on a weekly cycle without it becoming a two-day project. Tax withholding, direct deposit, and pay stubs generate automatically at whatever volume your roster hits that week.

General Temp Staffing at Any Volume. Recruiter Seats Always Free. Questions

Do I pay for inactive applicants sitting in my database?

No. Your entire Talent Pool, every applicant, every inactive candidate, every past worker with no shifts this month, is $0, no matter how large it grows. You're only billed for temps who are actually on assignment and getting paid.

How does weekly or same-day payroll work at high volume?

Native gross-to-net payroll runs on whatever cycle you set, weekly or faster, with automated tax withholding and direct deposit/pay card support, at whatever headcount your roster hits that cycle. There's no separate payroll system to keep in sync with your ATS.

What happens if a temp only works one shift this month?

They still count as an Active Placement for that billing cycle, the $6 charge is per month a worker had a pay stub, logged hours, or an active job order, not per shift. If they work zero shifts the following month, they drop off your bill automatically.
